Internal Coverage
Some positions exist to cover for another employee - a teacher covering a colleague's class, for instance. When a position's title is marked as internal coverage, its hours entries gain an Internal Coverage section, and FiscFlow works out the paid hours from how much was covered rather than only the clock time.
The three coverage types
The title's coverage type decides how it works and which fields appear on the hours entry:
| Coverage type | You fill in | Paid hours become… |
|---|---|---|
| Direct hours | Just Coverage For - who you covered. | Your normal worked time (start/end minus breaks), unchanged. |
| Students covered | # Students Covered and # Students in Covered Class. | Worked time × (students covered ÷ students in the class). |
| Periods covered | Periods Covered and Total Periods. | (periods covered ÷ total periods) × the site's coverage hours-per-day - the start/end time isn't used. |
The fields
Every coverage entry names the person you're covering in Coverage For and shows a computed % Coverage. The rest of the fields depend on the coverage type:
- Students covered - # Students Covered and # Students in Covered Class. The percentage is students covered ÷ students in the class.
- Periods covered - Periods Covered and Total Periods, plus a Coverage Hours Per Day. The percentage is periods covered ÷ total periods.
For the periods type, Total Periods and Coverage Hours Per Day are filled in from the site (typically 6 and 6) when you choose it, though you can adjust them on the entry.
For a students-covered or periods-covered entry, the hours FiscFlow records and pays are the coverage-adjusted amount, not the raw clock time. Enter the counts accurately - the covered count can't exceed the total, and no count can be negative.
Rules on a coverage entry
- Covered can't exceed the total - "Students covered must not be more than the total students in the class" (and the equivalent for periods).
- No negative counts - students covered, total students, periods covered, total periods, and coverage hours-per-day must all be zero or more.
Setting it up Admin / champion
Internal coverage is turned on per title:
- On the title, enable Internal Coverage
Set Is Internal Coverage and pick the Internal Coverage Type - Direct hours, Students covered, or Periods covered.
- For periods coverage, set the site defaults
Each site supplies the per-day figures used by the math: Hours Per Day and Periods Per Day (default 6 each).
Any assignment on a title with internal coverage on will show the coverage fields on its hours entries; no other setup is required.
Coverage entries are logged and submitted like any other hours - see Log your hours and Create & submit timesheets.
