Notes & Activity History
Every submission, personnel requisition, and employee assignment keeps a Notes tab that tells the story of the record - a running log of what happened, alongside comments people have added.
Who this is for: everyone who works a record - submitters, approvers, and admins.
Two kinds of note
| Kind | What it is |
|---|---|
| Your comments | Notes you type - context for the next person, a reason, a question. Anyone with access to the record can read them. |
| Activity log | Entries FiscFlow writes automatically as the record moves, so there's always a record of who did what, and when. |
What the activity log captures
As a record moves through its workflow, FiscFlow logs the milestones automatically:
- Submitted for approval, approved, rejected, and finalized.
- Retracted (pulled back) and resubmitted.
- Approval revoked - an approval undone.
- For assignments: approved, un-approved, rejected, and resubmitted.
- Admin override - when an administrator changes something out of the normal flow.
When you reject something, add a note explaining why - it lands right next to the automatic "rejected" entry, so the person fixing it sees the reason in context.
Notes vs. the audit trail
The Notes tab is the workflow story - milestones and comments. For a complete, field-by-field record of every change (old value → new value, who, when), see the Audit trail.
